How does the planning process work?
Wherever you are at in your planning process, we will sit down with you and start from the beginning. At our first meeting, we will have a conversation which will help us understand you, your personalities, your vision for your event, your budget, what you could have if you could have it all, as well as your concerns.
From there, we’re all yours. You can call us anytime, and we’ll keep you right on track. We assist you in creating a customized timeline, setting your budget and creating a design for your day, which will include a theme and color scheme. We will be happy to present options to you, but we prefer to sit down with you and pick your brain for things you a drawn to and excited about, we then research what will be necessary to make that happen. Muse matches each of its individual clients with vendors that not only meet their budget and needs, but their personalities as well. We will help your narrow down your choices, schedule interviews/tastings, accompany you to meeting, and help you navigate contracts.
As the planning process progresses, you will receive updates from us as to where you are at in the timeline & budget and what we should start looking at/talking about so that you will always be on schedule. From time to time, we will need to meet to take care of planning items or concerns you might have, and we time those meetings around your schedule. We keep an open communication flowing so that nothing is missed.
As the event date approaches, we will remind you of upcoming vendor deposits/payments, appointments you have that are coming up, items you need to follow up on, and we reconfirm decisions you have made before finalizing. It is our goal to make sure all of the details and logistics fall into place and come together smoothly.
A month before, we sit down together and review all of the details (from the layout of the room to how the food will be served to what we are supposed to do with all of them items during cleanup). We will also go to your venue and do a walk-through of the site to make sure that none of your details get missed. From this meeting, we create a very through timeline. Each of your vendors will receive a copy on the day of the event so that everyone is on the same page. Events always have surprises and we will inevitably diverge from the schedule we create, however, you will have the opportunity to shift items around as you desire, ask questions, and rest assured that nothing will be missed. If you are doing a wedding, we will assist you in scripting the ceremony as well.
A week before your event, we take it upon ourselves to call each of the vendors (whether it is a professional, a friend, or family member) to establish that you have a coordinator that they can (and should) come to on the day of, see to any last minute changes, and verify their arrival time.
If you are holding a wedding, we insist on being there for the rehearsal so that we can assist you in organizing the little details & managing the order of ceremonies. We also enjoy this opportunity to get to know those who are in the wedding party and in your immediate families.
The day-of the event, we show up early (if not the day before) to assist with the setup of the venues. From there, we greet and supervise all of your vendors, coordinate the timeline, and generally ensure that everything runs as planned (or at least gets solved when things do go wrong) and that you have a successful event! |
